Digital X-ray

Added support for latest Automation based Schick CDR Dicom program. The SchickLink DWORD option in HKCU\Software\Merlin\Preferences should be set to 2 for the new CDR interface, 1 for the old DDE interface and 0 for no Schick link.

Patient Details

Fixed bug which ignored setting of 'Dentist Recall' check box. Unchecking the checkbox previously had no effect

 

Charting

The maximum charges for codes 2863 and 2864 (Additions to Dentures) have been implemented.

When adding these codes to a Treatment Button, they should be set as ‘Tooth specific’.

When charting, the tooth or teeth should be shown.

It may be necessary to manually connect to the Internet before clicking on ‘Check for Updates…’Payments

Changed 'Switch Card' to 'Debit Card'.

 

Design Mode

Additional icons have been added to the drop down menu.

Appointment Book

Added ability to set ‘From’ and ‘To’ hours of appointment book. Click on 'File...Preferences...Appointment Book...' Select the 'From' and 'To' times, using the drop-down lists.

NOTE: Appointments previously made for a time before the new ‘from’ time will not be shown on the Appointment Book.

 

EDI

Fixed bug which transmitted an EDI claim based on estimated work instead of completed work, when a course requires prior approval.

 

Payments

Increased width of balance boxes in 'Payments' tab on 'Patient Details' form.

 

Recalls

Fixed bug where cancelled recall appointments still showed up on a fixed recalls list.

Merlin now recovers individual courses which have been transmitted by EDI but are "in limbo", i.e. they have been waiting for 10 days but there has been no response. Such courses should now reappear on the list for transmission

NHS Claim Options form
PFTR has been removed from the 'Type of claim' drop-down menu and now has a separate 'check' box. This will finally resolve the EDI issues caused by the DPD's specifications being unclear.

EDI drop-down menu
'Reports…' has been re-named 'DPD responses…' so as to avoid any confusion with the 'Reports' drop-down menu.

'Not Recently Seen…' report
A new addition to the 'Reports' drop-down menu. This report enables you to send a letter to patients who have not been in contact for some time and is based on the 'Last visit on' box. By 'checking' the 'Inactive' box on the 'Patient Details' page you can omit patients who may have died, left the practice, etc. The report is generated in the same way as a 'Recall' report. You would write a letter, which you would save in C:\Program Files\Merlin Professional\Templates and then set up a 'Mail Merge'.

Closed Treatment Courses
As previously advised, in order to allow errors in EDI claims to be rectified and the claims to be re-transmitted, the inability to alter closed courses has been removed. The words 'Once complete the course cannot be changed' has been deleted from the 'Confirm' box.

Clinical
When clicking on the printer icon on either of these pages, an option to print an Invoice is now available. The information on the invoice is the same as on an estimate.

EDI
Please note that, in order to enable rejected claims to be changed for re-transmission, the inability to change treatment courses after closing has been removed.

Code 1423 (Add fee - Incisal edge (not angle). When claiming this item Merlin was adding the cost to the treatment total, but not showing the code. This has now been corrected and the code is now showing correctly on transmitted claims.

Patient Details
You will see that a new field has been added to the form - 'Inactive'. Please ignore this for the present as it is not yet ready for use.

Incomplete dentures
Merlin can now transmit claims for these (Synthetic Resin 25%, 50%, 662/3% & 95% fee, Chrome 25% & 50% fee - remainder to follow).

In order to use these codes it is very important that they are entered into the Fee Scale correctly. Click HERE to see how the codes should be entered. The descriptions are at your discretion. If you have these codes in your Fee Scale already, please check that they and the fees are correct.

Important: Please note, that no codes have the letter 'a' in them.

You should then add a new Treatment Button or Buttons to your 'Charting' page.

When adding the codes to the buttons, 'Full Dentures' SHOULD NOT be 'tooth specific' and no teeth should be specified when this charting is carried out. 'Partial Dentures' SHOULD be 'tooth specific' and the teeth should be specified.

Recalls
The recalls preview form now includes the patient's telephone number.

EDI
Fixed the error which showed 'Sent' transmissions as 'Waiting in Outbox'

Where a blank initial line had been entered in a patient's address, Merlin removes this when sending a transmission and, therefore, prevents the whole transmission from being rejected by the DPD.

Confirm Subscription
It is no longer necessary to restart Merlin Server, after clicking 'Confirm Subscription', for confirmation to take effect (particularly after 15th of month).
'Confirm Subscription' can now be carried out from the Help menu on the Appointment Book page.

Cancelled Appointments
A date/time stamp is now added to the cancelled appointment in the Appointment History page.

Payments
An opening balance option has been added to the Payments section of patient details. This can be used when first setting up Merlin, where a patient's paper record shows that they do not have a zero balance on their account.

Free Text
"Free text" treatments, ad hoc fees or sundry items like toothbrushes etc. together with the price, can be added on the Treatment page.

Ctrl-X
This is a Windows command, which can be used, in some parts of Merlin, to cut and paste text. In instances, where text was not involved, it had the effect of closing down Merlin - this latter action no longer occurs.

NHS Claim Options
The EDI Ref is now allocated when the course of treatment is opened, instead of when it is transmitted.

GP17
When opening the GP17 form there is now the option of selecting 'GP17-1 for paper transmissions' OR 'GP17PR for EDI transmissions'.
GP17-1: prints the form as normal.
GP17PR: prints the Practice Stamp, Patient's Name & DoB and the Claim Reference No. on the new single-sided form

Appointments Book
Appointments Book: A border, of the colour allocated to the member of staff, makes identification easier.

Appointment Slots: On the File…Preferences…Practice Staff page, dentists and hygienists can individually set the length of their Appointment Slots.

Cancelled: On the Check in etc. drop down menu. When a patient cancels an appointment, it is removed from the Appointment Book but is noted, with a date/time stamp, in the patient's Appointment History.

Recalls
In connection with Advanced Messaging Ltd., recalls can now be sent by e-mail or SMS text messaging. E-mail addresses and mobile phone numbers are added, and the method of recall selected, on the 'Patient Details' page. When generating the recalls lists, the method of recall is selected on the 'Recalls' page.

Schedule Reconciliation
It is now possible to remove a whole page of courses by clicking on one button.
